We understand that sometimes it's not possible to plan a big adventure too far in advance, so we'll always do our best to accommodate late reservation requests for tours departing in 21 days or more. Late reservations occur when a tour is booked after 99 days prior to departure
At this point, we've already confirmed rooming breakdowns with our hotel partners and suppliers, so we need to request additional space. Because of this, the process for being confirmed as a late addition could take longer than if booking further out.
We'll review tour details and pricing with you at the time of your late reservation booking and work on confirming your spot. Typically we're able to confirm our ability to secure an additional spot within 2 weeks. If we can confirm your spot, standard cancellation fees will apply if you change your mind and decide to cancel.
Late reservation requirements
Customers must meet one of the following payment methods in order for Ultimate Break to begin the late addition process.
- Reservations made 99 to 31 days prior to departure: travelers must pay in full or have a minimum deposit of $750 and be enrolled in the automatic payment plan
- Reservations made under 30 days prior to departure: travelers must be paid in full
While we do confirm most late reservations, it's always possible the hotels could be fully booked, meaning we can't confirm your spot on your requested tour and date. In this case, you'll be eligible for a full refund or we can look into confirming you on a different date or tour.
Flight Costs
There is a potential that the actual cost of an airfare package is more than quoted on the website at time of booking. As the tour gets closer to departure, flight costs tend to increase and our flights team must look into reserving an itinerary for you on an ad hoc basis. In this instance, we will let you know that there are additional costs for confirming your flight itinerary, we will contact you to give you the chance to approve these costs and secure your reservation, or be refunded for the cost of the flights and purchase your own flight package.
Getting approved for tour
The pending approval process can last about 2 weeks as we work to get confirmation for all accommodations, internal transportation, and tour inclusions. There will be a banner in your online account stating that your reservation is pending approval. Once this disappears, you are confirmed on tour. We will also send you a confirmation email letting you know you have been approved.
